Enabling Smart Recording with AI Companion

Smart Recording brings the power of Zoom AI Companion to cloud recordings, allowing hosts to get more out of their Zoom Meetings and Webinars. Smart Recording uses AI technology, which may include third-party models, to automatically divide cloud recordings into smart chapters for easy review, highlight important information, and create next steps for attendees to take action.

Prerequisites for setting up Smart Recording

  • A Zoom Pro, Zoom One Business, Zoom One Business Plus, Zoom One Enterprise, Zoom One Enterprise Plus, or Enterprise Bundle account
    Note: AI Companion may not be available for select verticals and select regional customers.
  • Account owner or admin privileges to modify settings at the account or group level
  • Cloud recording enabled
  • Create audio transcript enabled

Note on Data Usage

Zoom does not use any audio, video, chat, screen sharing, attachments or other communications-like content (such as poll results, whiteboard and reactions) to train Zoom’s or third-party AI models.

We evaluate and update our models periodically and those used to support Zoom AI Companion may change from time to time. For features in AI Companion that use third-party AI model providers, we will share relevant data with those third-parties when you use the feature. For example, if you use smart recording to provide AI-generated insights, the meeting transcript and cloud recording will be sent to the relevant model to provide the service. Data may be processed within U.S. based data centers.

Limitations of Smart Recording

How to enable the Smart Recording feature

Note: By default, Smart Recording is disabled. This feature only applies to new recordings generated after this setting is enabled.

Account

To enable Smart Recording for all users in the account:

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the navigation menu, click Account Management then Account Settings.
  3. Click the Recording tab.
  4. Verify that the Cloud recording setting is enabled.
    Note: If the setting is disabled, click the toggle to enable it. If a verification dialog appears, click Enable to verify the change.
  5. Under Advanced cloud recording settings, select the check boxes next to Create audio transcript and Smart Recording.
    Note: Selecting the check box for just Smart Recording will automatically also select the Create audio transcript check box.
  6. (Optional) Select or clear any of the following check boxes as desired:
    • Create recording highlights: Zoom will automatically highlight the most important parts of the recording. Hosts can adjust the highlights as needed and share the video summary with users.
    • Create smart chapters: Zoom will automatically group sections of the recording into chapters with an overview. Hosts can edit the chapters manually.
    • Create next steps: Zoom will automatically summarize any actions to take after the recorded session. Hosts can edit the next steps manually.
      Note: If you clear all the check boxes, Smart Recording will be disabled.
  7. Click Save.
  8. (Optional) To prevent all users in your account from changing this setting, click the lock icon , and then click Lock to confirm the setting.
    Note: Locking Smart Recording on will also lock the Create audio transcript setting on.

Group

To enable Smart Recording for a group of users:

  1. Sign in to the Zoom web portal as an admin with the privilege to edit groups.
  2. In the navigation menu, click User Management then Groups.
  3. Click the applicable group name from the list.
  4. Click the Recording tab.
  5. Verify that the Cloud recording setting is enabled.
    Note: If the setting is disabled, click the toggle to enable it. If a verification dialog appears, click Enable to verify the change.
  6. Under Advanced cloud recording settings, select the check boxes next to Create audio transcript and Smart Recording.
    Note: Selecting the check box for just Smart Recording will automatically also select the Create audio transcript check box.
  7. (Optional) Select or clear any of the following check boxes as desired.
    • Create recording highlights: Zoom will automatically highlight the most important parts of the recording. Hosts can adjust the highlights as needed and share the video summary with users.
    • Create smart chapters: Zoom will automatically group sections of the recording into chapters with an overview. Hosts can edit the chapters manually.

  8. Click Save.

User

To enable Smart Recording for your own use:

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Settings.
  3. Click the Recording tab.
  4. Verify that the Cloud recording setting is enabled.
    Notes:
    • If the setting is disabled, click the toggle to enable it. If a verification dialog appears, click Enable to verify the change.
    • If the option is grayed out, it has been locked at either the group or account level. You need to contact your Zoom admin.
  5. Under Advanced cloud recording settings, select the check boxes next to Create audio transcript and Smart Recording.
  6. (Optional) Select or clear any of the following check boxes as desired.
    • Create recording highlights: Zoom will automatically highlight the most important parts of the recording. Hosts can adjust the highlights as needed and share the video summary with users.
    • Create smart chapters: Zoom will automatically group sections of the recording into chapters with an overview. Hosts can edit the chapters manually.
    • Create next steps: Zoom will automatically summarize any actions to take after the recorded session. Hosts can edit the next steps manually.

  7. Click Save.
