Managing Zoom Rooms for Touch Meetings Follow

Overview

After you start a meeting from Zoom Rooms for Touch, you can manage the meeting from the integrated controller.

Prerequisites 

  • Zoom Rooms for Windows version 4.0.44731.0823
  • Windows PC version 8.1 or higher with a touch screen
  • Touch drivers installed on the computer
  • Single display only

Instructions

Manage a meeting with the integrated meeting controls

A subset of controller features is incorporated into the Zoom Rooms for Touch screen, allowing you to start, join, and control a meeting. Although a separate controller is not required, it can be added if you need the full set of controller features.

To display the integrated meeting controls:

  1. Start or join a meeting from the Zoom Room Touch. 
  2. Tap Controls at the bottom of the screen to display the integrated controller.

You can control the following features using the integrated Zoom Rooms for Touch controller:

  • Mute or unmute the microphone in the room by toggling the microphone icon.
  • Start or stop the video from the camera in the room by toggling the video camera icon.
  • Display the instructions for sharing content from either a laptop screen or from an iPhone/iPad/Mac device
  • Display either Gallery View or Speaker View on the screen by toggling the view icon.
  • Manage participants:
    • Lock or unlock the meeting for new participants
    • Mute or unmute all meeting participants
  • Invite people or rooms from the contact list to join your meeting
  • Record your meeting

Note that additional features are available if you add a Controller to your Zoom Room using an iPad or Android tablet.

Display Instructions for Sharing a Screen

Other participants in your room can share content from their laptop or from their Mac/iPhone/iPad screens.

To display the instructions:

  1. Start or join a meeting from the Zoom Room Touch. 
  2. Tap Controls at the bottom of the screen to display the integrated controller. 
  3. Tap Share Content.
  4. The instructions will display.

The instructions for the Share Laptop Screen include both the Sharing Key and the Meeting ID.

The instructions for Share iPhone/iPad/Mac Screen include the Wi-Fi network you must connect to, the name of the room, and the password that you enter to share your content.

Invite Participants

You can invite participants to the meeting if they are in the contact list for the room.

  1. Start or join a meeting from the Zoom Room Touch. 
  2. Tap Controls at the bottom of the screen to display the integrated controller. 
  3. Tap Invite. The Invite Contacts dialog displays.
  4. Begin typing the name of the person or room you want to invite.

  5. Tap the names of one or more contacts, then tap Invite.
  6. If the contact is online, their Zoom client pops up a notification that they have been invited to a meeting from the Zoom Room.

Note that the room does not receive a notification if the contact was not available or declined the meeting. The room also does not receive notification that new participants have joined. You can see new participants as they join by displaying Gallery View. You can also see their names in the Participants list.

If you want to invite someone who is not on the contact list for the room, you cannot do this directly from the Zoom Room integrated controller, but can send them the Meeting ID from another device.

Record a Meeting

  1. Start or join a meeting from the Zoom Room Touch. 
  2. Tap Controls at the bottom of the screen to display the integrated controller. 
  3. Tap Start Recording
  4. The Send Recording dialog displays.
  5. Enter an email address to send the recording link to.
  6. Tap OK.
  7. When you end the meeting, the recording is processed. The email recipients receive a link to the recording when it is ready.
