Using the Whiteboard with Zoom Rooms for Touch Follow

Overview

Zoom Rooms for Touch is equipped with a whiteboard. You can start a whiteboard session, and then invite others to view and annotate. You can save the whiteboard image and annotations at any time by sending the image file to email recipients you specify.

Prerequisites

  • Zoom Rooms for Conference Room for PC - January 2019 Release or later
  • Windows PC version 8.1 or higher
  • Touch drivers installed on the computer
  • Single touchscreen monitor or dual monitors

Instructions

Starting a Whiteboard Session

  1. From the home screen, tap Whiteboard.
  2. The whiteboard control bar is displayed at the bottom of the screen, enabling you to switch from the default color (black) to another color (red, yellow, green, or blue) to draw on the screen.

    You will also have access to these features:
    • CLOSE: Close the whiteboard and return to the home screen.
    • Moon icon : Change the background of the whiteboard to black.
    • Save icon : Email the whiteboard as an image.
    • Add page icon : Add a new whiteboard page. After adding a page, you will see an icon showing the number of pages . Tap this icon to see view and delete pages.
    • START MEETING: Start a meeting and share the whiteboard with participants.

Inviting Participants to a Whiteboard Session

If you start a whiteboard session outside of a meeting, you can share it with remote participants by starting a meeting. The whiteboard that you have been using is available to share with the participants you invite to the meeting.

If you have set up Zoom Rooms for Touch with dual monitors, the whiteboard session will remain on the touchscreen monitor while participants' video will appear on the regular monitor.

  1. From the home screen, tap Whiteboard.
  2. Tap a color and begin drawing.
  3. Tap START MEETING in the bottom-right corner.
  4. Tap ... in the bottom-right section to display the integrated controller.
  5. Tap Invite in the meeting controls.
  6. Use the search bar to search for contacts to invite.
  7. Select participants from the search results, then tap Invite.

    All participants can see the whiteboard you are sharing, and can annotate it using the whiteboard annotation tools from their own Zoom application.

Annotating a Screen Shared by a Meeting Participant

Participants in the Zoom Room can annotate a screen shared by any meeting participant.

  1. Join a meeting where another participant is screen sharing.
  2. Choose a color from the bottom of the touch screen and begin drawing. This will annotate on the shared screen and display for all participants in the meeting.
  3. Change colors, erase, or go back using the controls at the bottom of the touch screen.

Saving a Whiteboard Session

You can save and share a whiteboard session, including annotations, by sending the saved file via email. If your whiteboard has multiple pages, each page will be a separate image.

  1. Tap the Save icon at the bottom of the whiteboard. The Save Whiteboard dialog will display.
  2. Enter an email addresses to send the image to.
  3. Tap Send.
    The whiteboard image is sent with the subject line “Saved Whiteboard Image”.
