Controlling desk and room reservations for users

Account owners and admins can control how far in advance users can reserve desks or rooms. They can also configure and set the number of desks that users can book concurrently.

Prerequisites for controlling desk and room reservations for users

• Either a Zoom Workspace Reservation subscription, Zoom Rooms subscription, or Zoom Common Area Phone subscription
• Account owner or admin privileges

How to control desk and room reservations for users

1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
2. In the navigation menu, click Workspaces Management then Workspaces.
3. Use location hierarchy to access the hierarchy level you want to enable this setting for (building, floor, or workspace).
4. Click Settings for that location or workspace (Building Settings, Floor Settings, Desk/Room Settings) to enable it for the location or workspace.
5. Under Basic, manage the following workspace settings for users:
   • Under Reserve Workspace in Advance, control how many days in advance users can reserve desks or rooms. 
     1. Enter or select the days in advance that users can reserve a workspace.
        Note: The maximum number of days users can book in advance is 181 days. 
     2. (Optional) To prevent all users in the group from changing this setting, click the lock icon , and then click Lock to confirm the setting.
   • Under Reserve Multiple Workspaces, set the number of desks that users can book concurrently during the same timeframe:
     1. Click the dropdown to select the number of workspaces that users can reserve at a time.
     2. (Optional) To prevent all users in the group from changing this setting, click the lock icon , and then click Lock to confirm the setting.

Note: At the workspace level, you can only manage the Reserve Workspace in Advance setting.
