Sharing a whiteboard

Whiteboards can be shared in and out of the meeting. You can share them from the Zoom Whiteboard dashboard, or from within the whiteboard itself.
When you share your whiteboard, you can also set the user’s permission to view, edit, comment, or become co-owner. When enabled by admin, whiteboards can be shared with anyone in your organization or with external users.

Prerequisites for sharing a whiteboard
Zoom Whiteboard in Zoom Meetings
- Zoom desktop client for Windows, macOS, or Linux: Global minimum version or higher
- Zoom mobile app for Android or iOS: Global minimum version or higher
Zoom Whiteboard in Zoom Webinars
- Zoom desktop client for Windows, macOS, or Linux: 5.11.3 or higher
- Zoom mobile app for Android or iOS: 5.11.3 or higher
How to share a whiteboard during a meeting or webinar
From Zoom Meetings
- Start a meeting from the Zoom desktop client.
- In the meeting controls toolbar, click the Whiteboards button
.
- At the top right, click New or click an existing whiteboard you would like to edit.
- In the pop-up window, you will be asked to select from the following:

How do you want to open the board?
- Collaborating: Users are granted edit access.
- Presenting: Board opens in presentation mode and users are granted view access.

Do you want users to have access to the board after the meeting?
- Yes: Meeting participants can access the new or edited whiteboard when the meeting ends.

No: Meeting participants cannot access the new or edited whiteboard when the meeting ends unless the owner grants them access outside the meeting.

How do you want to open the board?
- Click Open Board.
The whiteboard will open in the meeting window. - (Optional) If you want to add additional collaborators, at the top right, click Share to send the whiteboard to other users outside the meeting.
- Enter the contact names, Zoom Team Chat channel, or email addresses of the users you would like to share the whiteboard with and set their permissions with the drop-down arrow to the right of the entry box.
- Add an optional message to help recipients understand why this project was shared with them in the email that will be sent to them.
- Click Share.
From Zoom Webinars
- Start a webinar from the Zoom desktop client.
- In the webinar controls toolbar, click the Whiteboards button
.
- At the top right, click New or click an existing whiteboard you would like to edit.
- In the pop-up window, you will be asked to select from the following:

How do you want to open the board?
- Collaborating: Users are granted edit access

- Yes: Webinar attendees and panelists can access the new or edited whiteboard when the webinar ends.
- No: Webinar attendees and panelists cannot access the new or edited whiteboard when the webinar ends unless the owner grants them access outside the webinar.

How do you want to open the board?
- Click Open Board.
The whiteboard will open in the webinar window. - (Optional) If you want to add additional collaborators, at the top right, click Share to send the whiteboard to other users outside the webinar.
- Enter the contact names, Zoom Team Chat channel, or email addresses of the users you would like to share the whiteboard with and set their permissions with the drop-down arrow to the right of the entry box.

How to share a whiteboard outside of meetings
- Sign in to the Zoom desktop client.
- At the top, click the Whiteboards button

Note: If you don’t see the Whiteboards option, click Moreand then select Whiteboards from the list.
- Open or create a new whiteboard.
- At the top right, click Share to open the Share Whiteboard dialog box.
- Enter the contact names, Zoom Team Chat channel, or email addresses of the users you would like to share the whiteboard with and set their permissions with the drop-down arrow to the right of the entry box.
- (Optional) Add a message to help recipients understand why this project was shared with them in the email that will be sent to them.
- Click Share.
- Sign in to the Zoom web portal.
- On the left menu, click Whiteboards.
- Open or create a new whiteboard.
- At the top right, click Share to open the Share Whiteboard dialog box.
- Enter the contact names, Zoom Team Chat channel, or email addresses of the users you would like to share the whiteboard with and set their permissions with the drop-down arrow to the right of the entry box.
- (Optional) Add a message to help recipients understand why this project was shared with them in the email that will be sent to them.
- Click Share.
- Sign in to the Zoom mobile app.
- At the bottom of the screen, tap More.
- In the Added Features section, tap Whiteboard
.
- Tap a whiteboard you would like to share.
- At the top right, tap the ellipses icon
and then tap Share.
- In the Share Whiteboard dialog box, type the contact names, Zoom Team chat channel, or email addresses of the users you would like to share the whiteboard with and set their permissions with the drop-down arrow to the right of the entry box.
- (Optional) Add a message to help recipients understand why this project was shared with them in the email that will be sent to them.
- Tap Share.
How to share a whiteboard using a shareable link
You can also share your whiteboard using a shareable link. At the top right of the whiteboard, click the Share button to display the Share Whiteboard dialog box.
To set who can access the link, click the down arrow below Link Access and choose one of the following:
- Only invited members can access this board (default): Only specific individuals or channels will have access.
- Anyone at (Company Name): Enables permission for the entire account without having to name individual users (for example, make the board accessible to your entire company).
- Anyone with the link can view this board: Makes the board available to all users with a Zoom account, including users outside your organization.
To set the permission level for those who can access the link, click the down arrow and choose one of the following:
- Co-owner: Users with link access can have the same permissions as the original board owner, including sharing, editing, commenting, and deleting.
- Viewer: Users with link access can view the board.
- Editor: Users with link access can edit the board.
- Commenter: Users with link access can comment on the board.
At the bottom left, click the Copy Link and paste the URL in the chat message, Zoom Team chat channel, or email.
