Zoom Rooms Digital Signage Follow

Overview

Digital Signage allows you to share images and URLs on your Zoom Rooms screen when the room is not in a Zoom meeting and you can create Digital Signage only rooms, for displaying your signage without deploying a full Zoom Room. If you add multiple images or URL to display, it will rotate through them and you can designate how long each displays. You can also set how long before and after scheduled meetings the content displays. Room Name, time, and sharing key can be displayed along with the content. Content can be set at a room, floor, location, or account level. 

For uploaded images, we recommend JPG/JPEG or 24-bit PNG, 1920px by 1080px. The minimum width is 960px and cannot exceed 1920px. The minimum height is 540px and the maximum height is 1920px. The maximum image size is 5 MB.

  • Account Owner, Admin, or Role with edit access to Zoom Rooms
  • Zoom Rooms for Mac version 4.1.20278.0206 or later
  • Zoom Rooms for Digital Signage hardware

Instructions

Uploading Content

  1. Sign into your Zoom and navigate to Zoom Rooms.
  2. Click a location in the room hierarchy that you want to edit. For example, if you want the same content for all rooms on a particular floor, click the Floor name in the hierarchy.
  3. Click the Edit button next to the location you chose. You can do this on an account level, a location level, a floor level, or a room level. 
    • For the entire account: Go to Zoom Rooms and click on Account Settings.

    • For a location: Go to Zoom Rooms and click on the name of the location. Click on Edit at the top.

    • For a floor: Go to Zoom Rooms and click on the arrow next to the location. Click on the name of the floor from the list. Click on Edit at the top.

    • For a room: Go to Zoom Rooms and click on the name of the location on the left. Click on the name of the floor from the list. Click on Edit to the right of the room name.

  4. Click the Display Content tab.

  5. Click Add Content to add images and/or URLs.

    • Content Library: Choose images or URLs that have been uploaded to the Content Library. Learn how to add to the Content Library.
    • My Computer: Browse your computer to locate files and upload them.
    • URL: Enter the full URL, starting with http://, eg. http://zoom.us
  6. Click Add Items.

  7. Optional: Choose additional settings (see below). 
  8. Click Save Changes.

Now that you've added content, it will be displayed in the Zoom Room with the default settings. Optionally, you can edit the content settings, as instructed below. 

 

Content Settings

You can choose settings for your display content, including how long the images or URLs display, how long before and after a scheduled meeting they display, and if the screen includes the room name, time, and sharing key. Before you can choose the content settings, you will need to add content. 

To Edit Existing Content

  1. Sign into your Zoom and navigate to Zoom Rooms.
  2. Click a location in the room hierarchy that you want to edit. For example, if you want the same content for all rooms on a particular floor, click the Floor name in the hierarchy.
  3. Click the Edit button next to the location you chose. You can do this on an account level, a location level, a floor level, or a room level. 
    • For the entire account: Go to Zoom Rooms and click on Account Settings.

  4. Click the Display Content tab.

Reordering Items
You can drag and drop content items to reorder them. Alternatively, you can click ... and select Move Up or Move Down. When done, click Save Changes at the bottom.

Renaming Content
To rename an item, click ... and choose Rename. Enter the new name.When done, click Save Changes at the bottom.

Deleting Content
To delete an item, click ... and choose Remove. You can delete multiple items by clicking the checkboxes and clicking Remove Selected. When done, click Save Changes at the bottom.

Changing the Content Duration
Each item is automatically set to appear on the screen for 5 seconds. To change the duration of an item, hover over the duration and click the pencil. You can use the up and down arrows to adjust the duration or click on the number and choose one of the preset numbers. When done, click Save Changes at the bottom.

Setting Content Schedule
You can choose how long before and after a scheduled meeting you want the digital signage to display. In the Schedule section, click the pencil icon and enter the number of minutes before or after the scheduled meeting time you would like the content to display. When done, click Save Changes at the bottom.

Choosing Display Elements
Under Display Elements, you can click if you want to include the room name, time, and sharing key with the digital signage. When done, click Save Changes at the bottom.

Saving Changes
After making any of the above changes, you will see a Save Changes option appear at the bottom of the page. This only appears after you make a change. You can make any number of changes above and then click Save Changes at the bottom when you are done.

Turn Digital Signage On or Off

You can turn digital signage on or off by toggling the setting on the Display Content page. This will save your content and settings for later use, but not show it on the display. 

  1. Sign into your Zoom and navigate to Zoom Rooms.

  4. Click the Display Content tab.

  5. Next to Digital Signage Status, toggle the setting to on (blue) or off (white).

Uploading to the Content Library

You can upload images and add URLs to the Digital Signage Content Library so that they will be available to add them later to the individual location, floor, or room where you want to display them. For example, your marketing team could upload brand images to the Content Library and then another admin could choose from those brand images to apply them to the locations. When uploading to an individual room, floor, or location, the content will only be available where you upload it, but when you add it to the Content Library, it is available across the entire account.

To upload content

  1. Sign into your Zoom account and navigate to Digital Signage Content.
  2. Click Add Content.

  3. Select the type of Content you would like to add.

    • My Computer: Upload a JPG or PNG image from your computer.
    • URL: Enter the full URL, starting with http://, eg. http://zoom.us

  5. The items will now be in your Content Library and you can add them to a location, floor, or individual room.

 

Adding a Digital Signage Only Room

You can add a Digital Signage Only Room, which does not require a Zoom Rooms license. In addition to displaying any digital signage, the room can join a meeting, be invited to a meeting, or share a screen within the room. It cannot start a meeting.

  1. Sign into your Zoom and navigate to Zoom Rooms.
  2. Click + Add Room.

  3. Enter the Room Name.
  4. From the Room Type menu, select Digital Signage Only.

  5. Click Finish or Save & Add Another.
