Modifying recording notifications Follow

Overview

Zoom will always notify meeting participants that a meeting is being recorded. It is not possible to disable this notification. For participants joining by desktop client or mobile app, the screen will display a recording consent disclaimer. For participants who joined audio by phone, they will hear an audio prompt when they first join the meeting if it is already being recorded or at the time that recording is started.

Based on the type of account you have, you can modify some recording notification settings.

  • For Basic, Pro, Business, and Free Trial accounts with less than 100 licenses, the recording consent disclaimer and audio notifications are enabled for all users on a Zoom client by default and can't be disabled or customized. For dial-in users, you have the option to require participants to press 1 to consent to being recorded and enable multiple audio notifications in which users will hear a notification each time the recording is started, paused, resumed from being paused, or stopped.
  • For Enterprise, API, Education, or Business accounts with 100+ licenses, account owners and admins can disable or customize the recording consent disclaimer and disable audio notifications for internal users. These notifications are required for all guest participants.

Modifying recording notification settings

Recording notification settings can be modified for meeting participants joining on a Zoom client or by phone.

  • Zoom clients: Choose to show a notification and enable audio notifications for all participants or guests only. Zoom clients include the Zoom desktop client, Zoom mobile app, web client, Zoom Rooms, and VDI.
  • Phone users: Choose how phone users will hear and consent to audio notifications indicating that a recording has started.

Note: For Basic, Pro, Business and Free Trial accounts with less than 100 licenses, the recording consent disclaimer and audio notifications are enabled for all users on a Zoom client by default and can't be disabled or customized. 

Account

Zoom clients

Account owners and admins can modify recording notification settings for all users in the account who have meeting participants joining on Zoom clients. Zoom clients include the Zoom desktop client, mobile app, web client, Zoom Rooms, and VDI.

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the navigation panel, click Account Management then Account Settings.
  3. Click the Recording tab.
  4. Scroll down to Recording notifications - Zoom clients.
  5. Under Show a disclaimer to participants when a recording starts, choose either All participants or Guest only.
  6. (Optional) Click Customize Disclaimer if you want to edit the recording consent disclaimer text.
  7. Under Enable audio notifications for, choose either All participants or Guest only.
  8. (Optional) Select the check box next to Ask host to confirm before starting a recording to enable and customize a disclaimer for the host when starting a recording.
  9. Click Save.
  10. (Optional) If you want to make this setting mandatory for all users in your account, click the lock icon, and then click Lock to confirm the setting.

Phone users

Account owners and admins can modify recording notification settings for all users in the account who have meeting participants that join by phone. By default, all phone users will hear one audio notification indicating that a recording has started, but you can also enable multiple notifications for phone users.

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the navigation panel, click Account Management then Account Settings.
  3. Click the Recording tab.
  4. Scroll down to Recording notifications - Phone users.
  5. (Optional) Update the following settings as needed:
    • Require phone-only users to press 1 to consent to being recorded.
    • Multiple notifications for phone users. If you select this check box, phone users will hear audio notifications play each time the recording starts or restarts, informing participants that the meeting is being recorded.
  6. Click Save.
  7. (Optional) If you want to make this setting mandatory for all users in your account, click the lock icon, and then click Lock to confirm the setting.

Group

Zoom clients

Account owners and admins can modify recording notification settings for a group of users who have meeting participants on Zoom clients. Zoom clients include the Zoom desktop client, mobile app, web client, Zoom Rooms, and VDI.

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the navigation panel, click User Management then Group Management.
  3. Click the applicable group name from the list, then click the Recording tab.
  4. Scroll down to Recording notifications - Zoom clients.
    Note: If the option is grayed out, it has been locked at the account level and needs to be changed at that level.
  5. Under Show a disclaimer to participants when a recording starts, choose either All participants or Guest only.
  6. (Optional) Click Customize Disclaimer if you want to edit the recording consent disclaimer text.
  7. Under Enable audio notifications for, choose either All participants or Guest only.
  8. (Optional) Select the check box next to Ask host to confirm before starting a recording to enable and customize a disclaimer for the host when starting a recording.

    Note: If the option says Locked by admin, it has been locked at either the account or group level. You need to contact your Zoom admin. 
  5. Under Show a disclaimer to participants when a recording starts, choose either All participants or Guest only.
  6. Under Enable audio notifications for, choose either All participants or Guest only.
  7. (Optional) Select the check box next to Ask host to confirm before starting a recording to enable and customize a disclaimer for the host when starting a recording.
  8. Click Save.

Phone users
