Desktop Client Calendar and Contacts Integration Follow

Overview

Zoom meetings and webinars that are on the user’s calendar can be reflected on the Zoom client with a join button and host information, providing an easy way to join the meeting. If a meeting join link is not detected, the meeting will not display. The calendar integration is compatible with Google Calendar, Office 365, and Exchange.

You can also sync your Zoom contacts with Google, Office 365, or Exchange, allowing you to call your contacts using Zoom if you have a Zoom Phone license. You can still sync your contacts without a Zoom Phone license, but you won't be able to call them using Zoom.

Note: You can call synced contacts using the Zoom desktop client. Synced contacts are not available on the Zoom mobile app or provisioned desk phones. For the Zoom mobile app, you can import contacts from your phone's contacts app to call them using Zoom phone.

Prerequisites

  • Zoom desktop client for Mac version 4.1.23108.0402 or later
  • Zoom desktop client for Windows version 4.1.23108.0402 or later
  • Calendar and Contact Integration setting enabled in the Zoom web portal (Account Management > Account Settings)

Setting up Calendar and Contacts Integration

  1. Sign in to the Zoom web portal
  2. Click Profile.
  3. In the Calendar and Contact Integration section, click Connect to Calendar and Contact Service.

    Note: If you have previously enabled calendar or contacts integration, make sure both toggles are turned on.
  4. If you previously enabled calendar or contacts integration, click Continue.
  5. Select a service and check Allow Zoom to get calendar event and Allow Zoom to sync up contacts.
  6. Click Next.
  7. Follow the on-screen instructions to allow Google, Office 365, or Exchange to access your contacts:
  • Google: Follow the on-screen instructions to sign in to your Google account. Click Allow to let Zoom to access your contacts.
  • Office 365:
    • Choose a authorization method. The authorization method depends organization's security requirements. Contact your internal IT team if you are not sure which one to choose.
    • Office 365 account email address: Enter the email address associated with your Office 365 account.
    • Office 365 account email password: Enter the password associated with your Office 365 account
    • EWS URL: This will be populated with the default EWS URL for Office 365. You can leave this as the default unless your Office 365 account uses a unique configuration.
  • Exchange:
    • Exchange login username or UPN: Enter the username or UPN associated with your Exchange account.
    • Exchange login password: Enter the password associated with Exchange account.
    • Exchange Version: Select the version of Exchange. If you are uncertain of the Exchange Version, please contact your internal IT team for more information.
    • EWS URL: Enter your organization’s EWS URL. Contact your internal IT team if you do not know the EWS URL.

Note:

  • After allowing access, you will be redirected back to the Zoom web portal which will indicate that calendar or contacts sync is enabled.
  • You will need to sign out of your desktop client and sign in again for the integration to take effect.

Using Calendar Integration

Once you have added a calendar to your Zoom account, Zoom will check your calendar for any upcoming Zoom meetings. The Meetings tab of your Zoom desktop client will show any Zoom meetings found on your calendar for that day. It will only show today’s upcoming Zoom meetings, in addition to any meetings that you have scheduled on your Zoom account, regardless of day.

If you click a meeting that you have been invited to, it will show a join button. If you click a meeting that you are the host of, it will show the Start, Copy Invitation, Edit, and Delete buttons.

Note: After initially configuring the calendar integration, you will need to sign out of the desktop client and sign in again.

Using Contacts Integration

Contacts integration is useful if you have a Zoom Phone license. After syncing your contacts, you can use Zoom Phone to call them if they have a phone number attached to their profile.

You can access your synced contacts under Cloud Contacts in the Zoom desktop client.

Note: You can call synced contacts using the Zoom desktop client. Synced contacts are not available on the Zoom mobile app or provisioned desk phones.

Deactivating the Calendar or Contacts Integration 

  1. Sign in to the Zoom web portal.
  2. Click Profile.
  3. Toggle the calendar or contacts setting to off (gray). This will deactivate the integration, allowing you to easily re-activate it later on.
  4. When you are ready to turn the integration on again, toggle the setting back to on (blue).

Removing a Calendar and Contacts Integration

  1. Sign in to the Zoom web portal.
  2. Click Profile.
  3. Below Calendar Integration, click Delete next connected account name.
  4. Confirm that you would like to delete the integration by clicking Delete.
