Provisioning Phones and Devices Follow

Overview

By default, all phone users can make and receive calls using the Zoom desktop and mobile applications. As the Zoom Account Owner or Admin, you can provision and assign devices to users that require a desk phone.

Adding a Desk Phone

Follow these steps to add a desk phone, assign it to a user, and provision it.

  1. Log in to the Zoom web portal.
  2. Navigate to the Phones & Devices page and click Add.
  3. Enter the following information:
    • Assigned To: Click Choose to select the phone users to assign desk phones to. If you have multiple sites, the desk phone will belong to the same site as the phone user.
    • Name (Optional): Enter a display name to identify the desk phone.
    • Device: Select the brand and model number using the drop-down menus.
    • MAC address: Enter the 12-digit MAC address of the desk phone.
  4. Select Do Provisioning after Saving then click Save.
  5. Follow the on-screen instructions to complete provisioning then click Next.

Editing a Desk Phone

Follow these steps if you want to edit an existing desk phone you've added. You can re-assigned the desk phone or unbind it so that it isn't assigned to anyone.

  1. Log in to the Zoom web portal.
  2. Navigate to the Phones & Devices page.
  3. Click the display name of the device you want to edit.
  4. You can edit the following settings:
    • Display name: Click Edit next to the display name to change it.
    • Site: Displays the site that the device belongs to. This is automatically populated with the associated phone user's site. To change the site, you need to move the associated phone user to another site.
    • Assigned To: Displays the phone user the device is assigned to. To reassign the device, click Edit and select another user.
    • Device Type: Click Edit to change the device brand and model.
    • MAC address: Click Edit to change the 12-digit MAC address of the desk phone.
  5. Click Provisioning, follow the on-screen instructions to complete provisioning then click Next.

Adjusting Desk Phone Settings

You can globally set common configurations for desk phones provisioned in your account. Some settings may not work for all models.

  1. Log in to the Zoom web portal.
  2. Navigate to the Company Info page and click the General tab.
  3. Under Desk Phone, change the following settings:
    • Background Image: Enter an image URL to add a background image to the display of desk phones.
    • Time Format: Choose a 12 or 24 hour time format.
    • Network Time Protocol (NTP) Server: Enter a NTP server URL to automatically update the time displayed on desk phones.
    • Administrator Password: Enter an admin password so that only admins can access advanced features of the desk phones.

Adding a Common Area Desk Phone

Follow these steps if want to provision a desk phone that can be used by all phone users. For example, if your office has shared desks that don't belong to a specific employees, you could add a common area desk phone so that users can log in to the desk phone when they use the shared desk.

Note: The common area desk phone will have its own extension number, but phone users will be able to log in to the desk phone to use their extension and phone number.

  1. Log in to the Zoom web portal.
  2. Navigate to the Company Info page and click the General tab.
  3. Click Add and enter the following information:
    • Site (only visible if you have multiple sites): Select the site you want the desk phone to belong to.
    • Display Name: Enter a display name to identify the desk phone.
    • Description (Optional)Enter a description to help you identify the location of the desk phone.
    • Extension Number: Enter an extension number to assign it to the desk phone.
    • Device: Select the brand and model number using the drop-down menus.
    • MAC address: Enter the 12-digit MAC address of the desk phone.
  4. Select Do Provisioning after Saving then click Save.
  5. Follow the on-screen instructions to complete provisioning then click Next.
