Managing Zoom Rooms Added to Zoom Phone Follow

Overview

You can integrate Zoom Rooms with Zoom Phone, allowing you to make and receive calls using Zoom Rooms.

Assigning a Zoom Phone License to a Zoom Room

Note: Make sure you have Zoom Rooms set up. See Getting Started with Zoom Rooms for more information.

  1. Sign in to the Zoom web portal.
  2. Click Phone System ManagementUsers & Rooms.
  3. Click the Zoom Rooms tab.
  4. Click Add.
  5. Search for the Zoom Room you want to assign a license to, and click the checkbox beside the Zoom Room's name.
  6. If you have multiple sites, select the site you want the Zoom Room to belong to.
  7. Click Confirm.
  8. Click Save to assign a Zoom Phone license to the selected Zoom Room. The Zoom Room will be assigned an extension number and appear in the Zoom Rooms tab in the Users & Rooms page.
  9. Follow the section below to assign a calling plan and direct phone number to the Zoom Room.

Assigning a Calling Plan and Direct Phone Number to a Zoom Room

Follow these steps to assign a calling plan for outbound calls from the Zoom Room. You can also assign a direct phone number during this process (optional).

  1. Sign in to the Zoom web portal.
  2. Click Phone System ManagementUsers & Rooms.
  3. Click the Zoom Rooms tab.
  4. Find the Zoom Room you added a Zoom Phone license to.
  5. Click Assign Calling Plan in the last column.
  6. Select a calling plan and click Confirm and Assign Numbers.
  7. If you want to assign a direct phone number to the Zoom Room, select a phone number and click Confirm. Otherwise, click Skip.

    You can now make and receive calls in a Zoom Room. You can also invite participants by phone and call other Zoom Rooms in the same account. Learn more about using phone features in Zoom Rooms.

Removing Licenses or Calling Plans from Zoom Rooms

After assigning licenses to Zoom Rooms, you can remove licenses to revoke access to Zoom Phone. After removing a license, the license and associated number will be available to reassign. You can also remove calling plans from Zoom Rooms if you do not want them to make outbound calls.

  1. Sign in to the Zoom web portal.
  2. Click Phone System ManagementUsers & Rooms.
  3. Click the Zoom Rooms tab.
  4. Click the checkbox beside each Zoom Room you want to remove a license or calling plan from.
  5. Click one of these options at the top of the list:
    • Click Remove to remove Zoom Phone licenses from the selected Zoom Rooms. Click Delete to confirm.
    • To remove a calling plan, click the downwards arrow next to Assign Calling Plan and click Remove Calling Plan. Click Remove to confirm.
      Note: Removing a calling plan will also remove any direct phone numbers assigned.
  6. To remove Zoom Rooms individually, click the more icon (...) then click Remove to remove the license or click Remove Calling Plan.

Managing Settings

Sign in to the Zoom web portal and navigate to the Users & Rooms page > Zoom Rooms tab. Click the name of the Zoom Room you want adjust settings for. You'll see the following information and options:

  • Site: Displays the site that the Zoom Room belongs to. See Managing Multiple Sites if you want to move a room to another site.
  • Extension Number: Click Edit to change the extension number assigned to the Zoom Room.
    Note: Extension numbers can be up to 6 digits. If you have multiple sites and enabled site codes, extension numbers can be 2 to 5 digits and site codes can be 1 to 2 digits.
  • Number(s): Click Add to assign direct phone numbers to the Zoom Room. If you don't see this setting, you need to change the room's calling plan (see below).
  • Calling Plan(s): Click Assign or Edit to change the room's calling plan.

Note: To prevent overlap from emergency codes and international prefixes, the following extensions are not able to be used.

  • 0, 0X, 0XX,
  • 10X, 11X, 120, 122, 13X, 13XXXX, 155, 155X, 155XX, 155XXX, 176, 180, 183, 186, 186X, 186XX, 186XXX, 19X

  • 311
  • 411
  • 511
  • 611

  • 811
  • 911, 933, 99X

Batch Assigning Licenses and Calling Plans to Existing Zoom Rooms

Follow these steps if you need to assign more than 20 Zoom Phone licenses to existing Zoom Rooms.

Note: Make sure you have Zoom Rooms set up. See Getting Started with Zoom Rooms for more information.

  1. Sign in to the Zoom web portal.
  2. Click Phone System ManagementUsers & Rooms.
  3. Click the Zoom Rooms tab.
  4. Click Import.
  5. If you created multiple sites, select the target site you want the Zoom Rooms to belong to.
  6. Click CSV Sample to download a sample CSV file and view the required fields.
  7. Fill out the fields using the CSV sample.
    Note: Do not delete the first row with the field names.
  8. Click Upload CSV and select your completed CSV file to start the batch process.
    Note: If the room already has a Zoom Phone license or their assigned extension or phone number is already in use, the batch process will not complete.
  9. Click Close when the batch process has completed.

Batch Updating Existing Zoom Rooms

You can batch update existing Zoom Rooms if you want to update Zoom Rooms' calling plan, site code, extension, or direct number.

  1. Sign in to the Zoom web portal.
  2. Click Phone System ManagementUsers & Rooms.
  3. Click the Zoom Rooms tab.
  4. Click Import.
  5. Click the Update Zoom Rooms tab.
  6. If you created multiple sites, select the target site you want the Zoom Rooms to belong to.
  7. Click CSV Sample to download a sample CSV file and view the fields you can change.
    Note:
    • Select CSV sample with existing data if you want to populate the CSV sample file with all your existing Zoom Rooms.
    • Do not delete the first row with the field names.
  8. Click Upload CSV and select your completed CSV file to start the batch process.
  9. Click Close when the batch process has completed.
