Account setting update: Passcode default for meeting and webinar Follow

Zoom is releasing additional controls for the passcode settings for meetings and webinars. Currently users can enable passcodes on a meeting-by-meeting basis. With this update, three new settings will be added at the account, group, and user level: 

  • Require a passcode when scheduling new meetings
  • Require a passcode for instant meetings
  • Require a passcode for Personal Meeting ID (PMI) 

These settings will give account owners and admins additional control over meeting passcodes across their users and their entire account. For most meeting attendees, the join flow will remain the same, whether they join by clicking a link in a meeting invite or join through the desktop calendar integration. Participants who join by manually entering in the meeting ID will need to enter the passcode when joining a meeting. 

The first two settings, for newly scheduled meetings and instant meetings, will be enabled by default and apply to newly scheduled meetings and instant meetings. However, this will not apply to any meetings previously scheduled.

The new passcode settings will be enabled by default on: 

  • September 29, 2019 - accounts without Zoom Rooms
  • November 23, 2019 - accounts with Zoom Rooms 

Starting on September 8, 2019, Zoom account owners and admins will see a banner on the Zoom web portal, which will allow them to agree to have these new settings defaulted to “on” or choose to have them disabled upon the release. Account owners and admins can change their choice until September 28 and they can also make changes to these settings after the release on September 29. 

Frequently Asked Questions

How will this affect participants joining my meetings?
This change will not affect participants who join by clicking the meeting link or through the desktop calendar integration. Participants who join by manually entering in the meeting ID will need to enter the passcode manually as well.

Can I disable these settings?
As an account owner or admin, you can disable these settings through the banner on the Zoom web portal before this feature is released or in your account, group, or user settings after the feature is released. 

Who sees this banner and can change the setting?
Account owners and admins will see the banner and can change the settings. If the account owner or admin has already accepted or declined the change, this will be noted in the banner and can be overridden. Members on your Zoom account do not see the banner. 

Can I change the settings after September 28? 
Yes, you can change the settings in your account settings, group settings, or individual user settings after the release. 

Where can I find the meeting passcode?
For scheduled meetings, the meeting passcode will be in the invitation. For instant meetings, the passcode will be displayed in the Zoom Client or on the Zoom Rooms Controller. The passcode is also included in the meeting join URL.

How will this affect my Zoom Rooms?
Zoom Rooms with computers and controllers running the latest version of Zoom Rooms, 4.5.0,  will automatically detect the meeting passcode in a calendar invite and enter it when joining. Participants joining from a room with an older version of Zoom Rooms or entering the meeting ID manually will need to enter the passcode manually. 

How will this affect participants dialing in by phone?
Zoom currently has a setting Generate and require passcode for participants joining by phone in account, group, and user settings. This setting will not be changed with the September 29 release. If this setting is enabled, participants joining by phone will need to enter a passcode if the meeting requires a passcode. If this setting is disabled, users can join by phone without needing to enter a passcode.  

How does this affect customers with TSP audio integration?
Customers with TSP audio integration do not have access to the setting, Require passcode for participants joining by phone. Phone users join partner audio bridges that support dial-in criteria as provided by the partner.

How will this affect H.323/SIP devices joining by Conference Room Connector or Zoom Connector for Cisco and Polycom?
Devices configured with Zoom Connector for Cisco and Polycom will automatically detect the meeting passcode in a calendar invite and enter it when joining. For participants dialing in manually from an H.323 or SIP device, they will need to include the passcode in the dial string or enter it manually after dialing in to the Zoom meeting.
