Linking PayPal business to Zoom Events hub

PayPal is a simple and powerful way to accept payments online for Zoom Events. You can also link a Stripe account as an alternative online payment platform.

Prerequisites for linking PayPal business to your Zoom Events hub 

Criteria to link PayPal business to your Zoom Events hub

To successfully link a PayPal business account to your Zoom Events hub, you will need to:

  • Link a previously created and approved PayPal business account, or
  • Create a new PayPal business account and link to it

When creating a new PayPal business account, you will need to do the following to link your new account successfully; otherwise, you will be taken back to Zoom Events without your accounts linked:

  • Link your bank account, and
  • Confirm your PayPal account's email address
    Note: This email is sent from PayPal and can take up to 4 hours to arrive in your inbox.

How to link a PayPal business account to your Zoom Events hub

You can create a new PayPal business account and link it to your Zoom Events hub if your hub:

  • Is not already linked to a PayPal business account
  • Does not have pending charges to resolve

To link a PayPal business account to your Zoom Events hub:

  1. Sign in to Zoom Events.
  2. In the left navigation menu, click the top dropdown arrow down-arrow-button.png and select Hub.
  3. In the left navigation menu, click the hub dropdown menu and select the hub you want to add a PayPal account to.
  4. Under the hub you want to manage, click Settings, then click Billing.
  5. Click the Payout Methods tab.
  6. Use the dropdown menu to select the country the financial account to be used to receive your hosting income is opened in, then click Save.
    Notes:
    • This occurs typically for a new hub, and only after you click the Billing tab for the first time.
    • If you select United Arab Emirates and want to use PayPal to process payments, then you will need to select USD as the currency. If you select United Arab Emirates and want to process payments in AED, then you will need to link to a Stripe account.
  7. In the PayPal section, click Link.
  8. Enter your email address, then click Next.
  9. Enter your billing address information, then click Continue.
    Note: You can skip this section, but if you do not add a billing address to your PayPal business account, you will not be able to create paid events.
  10. Complete the prompts to link PayPal to your Zoom Events hub.

You will receive an email once your PayPal business account is successfully linked to your Zoom Events hub.

Limitations for paid ticket registration with PayPal

Zoom Event hosts can create and schedule paid events on any date.

When you create a paid event and PayPal is the online payment platform linked to your Zoom Events hub, your event's paid ticket registration will not be available for attendees until 26 days from the event publication date. For example, if a paid event begins on July 27, an attendee can only register for the event on July 1.

How to manage payments and billing

Update payments and billing information

  1. Sign in to Zoom Events.
  2. In the left navigation menu, click the top dropdown arrow down-arrow-button.png and select Hub.
  3. In the left navigation menu, click the hub dropdown menu and select the hub with the PayPal account you want to manage.
  4. Under the hub you want to manage, click Settings, then click Billing.
  5. Click the Billing Information tab.
  6. Under Billing Address, complete the required information.
    Note: It is not required to provide a billing address, but you cannot create paid events without one on file.
  7. Click Save.

How to manage the PayPal business account dashboard

The PayPal business account dashboard is where you go to operate and configure your PayPal business account, manage payments and refunds, and respond to disputes. Useful information about your account activity can also be seen at a glance.

Fund capture

After a ticket is purchased with a credit or debit card, the transaction will stay pending for two days before funds are captured. This feature is to safeguard you from having to pay PayPal processing fees if there is a refund/cancellation during this time period.

Note: Once a transaction is captured, you are responsible for paying PayPal the processing fees for the purchase, even if there is a refund. During this two-day period, the transaction is authorized, meaning that the transaction (funds that have been held for the purchase) has been approved by the issuing credit card/bank. The attendee will see the purchase on their credit or debit card account during this two-day processing period.

Approve or reject refunds

Refund requests made within 14 days after an event's end date can be approved or rejected from within Zoom Events.

For refund requests that are made 15 days or after an event's end date, you will need to sign in to your PayPal business account to approve or reject the refund request.

International payments/currencies

Note: PayPal business accounts must be enabled to accept additional currencies. If funds are received in currencies that are not enabled on the account, those funds will immediately go to an unclaimed status.

To accept international payments/currencies, adjustments will need to be made in your PayPal account dashboard. To learn how to make these adjustments, please visit this PayPal support page. You can choose from the following three options:

  1. Accept all international payments/currencies and convert them to the primary currency of your PayPal account.
  2. Deny the payments, and the customer won’t be able to complete the purchase.
  3. Accept all international payments/currencies and create a new holding balance in that currency.

View chargebacks

A chargeback is when a credit card holder files a dispute with the issuer of their credit card, asking the card issuer for a refund for a specific charge.

There are many reasons you can receive a chargeback, and you can respond to a chargeback to help resolve the case; following some simple tips can help to reduce your chargebacks.

Note: You must respond to a chargeback for the right to reclaim your funds. If you do not respond to a chargeback, you will forfeit your right to reclaim chargeback funds but the customer will receive a refund.

PayPal deducts a $15.00 dispute fee per transaction for users in the United States. The High Volume Dispute Fee will be charged when certain criteria are met.

View reports

Reports can be viewed as a summary report from the dashboard or downloaded as a CSV file to see itemized transaction data.

View sales taxes, GST, VAT

Taxes vary by region. For specific details on indirect taxes for your region, please visit Zoom Events GST and VAT and Zoom Events US Taxes.

For tickets sold to attendees located in the US and Canada, the ticket price charged to attendees will be treated as exclusive of indirect taxes. This means that if tax needs to be collected, the amount will be added to the ticket price and displayed to the purchaser at checkout. Zoom will collect the added tax from the transaction and remit it on your behalf.

For tickets sold to attendees located outside of the US and Canada, the ticket price charged to attendees will be treated as inclusive of indirect taxes. This means that the amounts remitted to you will be reduced, from the ticket price, by any taxes that Zoom is required to collect on the amounts charged to the attendees.

Notes:

  • Zoom will collect tax from a transaction using the Partner commission field in PayPal. You can view transaction details applicable to sales tax, GST, and VAT by going to your PayPal dashboard.
  • Where Zoom is not required to collect and remit indirect taxes on the price charged to attendees, hosts are responsible for determining and remitting applicable indirect taxes.

PayPal payout schedule

Payout arrives after ticket registration closes, which must close on a date no later than the event’s end date. For example, if an event ends on January 1, then registration must end on January 1, and the payout funds will be released 5 business days after January 1 (January 1 + 5 business days).

Note: Holds with new merchant accounts can take place for multiple reasons, and PayPal may hold the money in the host's pending balance for up to 21 days.

Holds with new merchant accounts can take place for multiple reasons. When some sellers receive payments, PayPal may hold the money in their pending balance for up to 21 days.

PayPal's risk engine can place holds (especially on new accounts that have zero processing history) if PayPal does not have everything with the business account confirmed or is asking the business to provide more info regarding what they are selling.
Number of days in advance paid event registration can be scheduled to start A paid event can be published on any date. The event's paid ticket registration will open to attendees 26 days before the event's scheduled start date.

How to unlink a PayPal business account from your Zoom Events hub

You can unlink your PayPal business account in your Zoom Events hub if your account does not have an active:

  • Published event with sales of paid tickets
  • Paid event
  • Pending transaction

All three conditions must be met to unlink your PayPal business account from your Zoom Events hub.

Note: When unlinking, it is recommended that your PayPal account is unlinked from within the Zoom Events platform only. If you unlink your Zoom Events hub directly from your PayPal account in PayPal:

  • You will no longer be able to sell tickets through the Zoom Events platform through PayPal.
  • There will be a delay of up to 1 day to reconnect/link to the Zoom Events platform.

Unlink a PayPal business account from your Zoom Events hub

  1. Sign in to Zoom Events.
  2. In the left navigation menu, click the top dropdown arrow down-arrow-button.png and select Hub.
  3. In the left navigation menu, click the hub dropdown menu and select the hub with the PayPal account you want to manage.
  4. Under the hub you want to manage, click Settings, then click Billing.
  5. Click the Payout Methods tab.
  6. In the PayPal section, click Unlink.
    Notes:
    • Please wait until you have no active ticket sales or pending transactions before unlinking your PayPal Business account; otherwise, you cannot unlink your PayPal account.
    • Clicking Unlink will redirect you to PayPal's website. Follow the prompts to unlink your PayPal business account.
