Importing personal contacts

Users can store personal contacts including names, email addresses, phone numbers and more in Zoom by uploading a CSV file. Contacts saved in your account will be saved in your account and synced with all of your Zoom desktop client and mobile app under Contacts tab > My Contacts section. If you have a Zoom Phone license, you can also call your contacts using Zoom Phone.

This feature is useful if your organization doesn’t use Outlook or Google for managing contacts, or your Zoom admin has restricted your ability to use calendar/contacts integration to sync your contacts with Outlook or Google. If you’re using Zoom Phone on the Zoom mobile app, you can also view your phone’s contacts in the mobile app.

Prerequisites for importing personal contacts

  • Zoom Phone license to call contacts with a phone number
  • Zoom desktop client or mobile app, 5.8.3 or higher for your personal contacts to be synced

Limitations of importing personal contacts

  • You can import a maximum of 1,000 personal contacts.
  • You can’t edit or delete individual contacts. You can only upload a new CSV file to overwrite all existing contacts.
  • Personal contacts sync from the Zoom web portal to the Zoom desktop client and mobile app. All personal contacts appear under the Contacts tab > My Contacts section. Contacts appear under a sub-section which you can name while importing contacts. You can’t organize personal contact into sub-sections.

How to import contacts using a CSV file

To begin using personal contacts, you can download a CSV sample file from the Zoom web portal, then edit it with your contacts.

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Personal Contacts.
  3. Click Import.
  4. Click Download CSV Sample.
  5. Open the CSV sample using spreadsheet software like Microsoft Excel.
  6. Specify the following information for each contact:
    Note: All phone numbers must be in E.164 format. You can only specify one phone number in each of the 5 relevant fields.
    • Name (required): The contact's display name.
    • Email Address: The contact's email address.
    • Office: The contact’s office phone number.
    • Home: The contact’s home phone number.
    • Mobile: The contact’s mobile phone number.
    • Fax: The contact’s fax number.
    • Phone: The contact’s main phone number.
    • Company: The contact’s company.
  7. Save the file.
  8. Go back to the Zoom web portal.
  9. In the navigation menu, click Personal Contacts.
  10. Click Import.
  11. Enter a display name for this contact group.
    Note: This display name will appear in the client and app in the Contacts tab > My Contacts section
  12. Click Select CSV File and upload the CSV file you want to import.
  13. Click Upload.
    If the CSV imports successfully, you will see a list of your personal contacts.

Phone number format

All phone numbers in the CSV must contain the following (known as E.164 format):

  • Plus sign (+)
  • Country code
    Note: If you're editing the CSV file in Excel, place a single quote mark (') before the plus sign so that the plus sign is added when you save the CSV file. For example, '+18881231234.
  • Area code
  • Phone number

Note: Only specify one phone number for each relevant field.

How to replace current personal contacts

After importing your personal contacts, you can upload a new CSV file to replace existing personal contacts.

Note: Following these steps will replace all existing personal contacts. You can’t edit existing personal contacts.

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Personal Contacts.
  3. At the top of the page, click Replace with New CSV File.
  4. Enter a name for this contact group.
  5. Click Select CSV File and upload the CSV file you want to import.
  6. Click Upload.
    If the CSV imports successfully, you will see a list of phone contacts. The previous personal contacts will be overwritten.

How to delete current personal contact

If you no longer want to use personal contacts, you can delete all personal contacts at once.

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, click Personal Contacts.
  3. At the top of the page, click Delete
    All existing personal contacts will be removed..
