Managing Zoom IQ recording access and disclaimers

Zoom IQ needs recording data to analyze and provide metrics and feedback. Access to recordings of Zoom IQ users must be authorized by an account admin, who can also configure which meetings or Zoom Phone calls are blocked or ignored from automatic analytics.

How to manage meeting recording access and auto-analyze settings

The following settings allow you to control the meeting recordings that Zoom IQ analyzes.

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the navigation menu, click Account Management then Account Settings.
  3. Click the Zoom IQ for Sales tab.
  4. In the Conversations - Meetings section, you have the following options:
    • Meeting Duration-Related Auto-Analyze: Allow Zoom IQ to analyze meeting recordings longer than 5 minutes. This setting will be enabled for all groups and users. Settings that had been previously changed for groups or users will not be affected.
    • Meeting Participant-Related Auto-Analyze: Allow Zoom IQ to analyze meetings with external participants. This setting will be enabled for all groups and users. Settings that had been previously changed for groups or users will not be affected.
    • Meeting Participant-Related Exclusions: Prevent Zoom IQ from automatically analyzing certain meetings. You can:
      • Exclude meetings when at least one participant has a public domain: Participants that are signed-in to an account with a public domain, such as Gmail, Yahoo, etc., will exclude the entire recording from Zoom IQ analysis.
      • Exclude meetings when at least one external meeting participant has the specified domain: When at least one external participant is signed-in to an account with one or more specified domains, Zoom IQ will exclude the entire recording from Zoom IQ analysis. Click Save to confirm the domain(s).
      • Exclude meetings when all external meeting participants have the specified domain: When all external participants are signed-in to an account with one or more specified domains, Zoom IQ will exclude the entire recording from Zoom IQ analysis. Click Save to confirm the domain(s).

How to customize meeting recording disclaimer

Admins can also configure which participants see and must confirm the recording disclaimer. This disclaimer can be customized as well to provide more details.

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the navigation menu, click Account Management then Account Settings.
  3. Click the Zoom IQ for Sales tab.
  4. Under Recording notifications - Zoom clients, choose either All participants or Guest only.
    Note: The recording disclaimer is mandatory and cannot be disabled.
  5. (Optional) Click Customize Disclaimer to add up to 1000 additional characters to the default disclaimer.
  6. Under Play voice prompt for, choose if you want All participants, Guest only, or No One to hear the audio recording notification.
  7. (Optional) Select the check box next to Ask host to confirm before starting a recording to enable and customize a disclaimer for the host when starting a recording.

How to manage Zoom Phone recording access

Zoom IQ can also analyze and provide metrics and feedback for recorded Zoom Phone calls. Access to phone recordings of Zoom IQ users must be authorized by an account admin, who can also configure which calls are automatically analyzed.

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the navigation menu, click Account Management then Account Settings.
  3. Click the Zoom IQ for Sales tab.
  4. In the Conversations - Phone section, click the Phone Recording Analyze toggle to allow Zoom IQ access to Zoom Phone call recordings.
  5. (Optional) Click the Phone Duration-Related Auto-Analyze toggle to allow Zoom IQ to only analyze call recordings longer than 1 minute. 
  6. (Optional) Click the Phone Participant-Related Auto-Analyze toggle to allow Zoom IQ to only analyze call recordings with external participants.

This setting will be enabled for all groups and users. Settings that had been previously changed for groups or users will not be affected.
